DataFlow Verification 2026: Documents, Cost and Timeline

What DataFlow checks, the documents each GCC authority needs, what it costs, how long it really takes, and the six flags that stall a file for months.

DataFlow is the primary source verification step that every GCC health authority requires before it will let you near a Prometric exam. It is an independent check that your degree, your licence, your experience letters and your Good Standing certificate are genuine, confirmed directly with the institutions that issued them. For most candidates it is also the single longest step in the whole licensing journey, and the one where files sit still for months because of a problem that could have been fixed in an afternoon.

What DataFlow actually verifies

The document checklist before you submit

Most rejections are not caused by a missing document. They are caused by the wrong version of the right document. Check every item against this list before you upload anything.

  • Degree certificate: the final, stamped certificate. A provisional degree or a photocopy without a seal will be sent back.
  • Transcripts: complete, with the university seal on every page, not a summary sheet.
  • Internship completion certificate: where your profession requires one.
  • Experience letters: one for every year since qualification, each carrying exact start and end dates, your job title, and an official phone number and email for the HR contact. DataFlow cannot verify what it cannot call.
  • Good Standing certificate: issued within the last six months, and still valid at the point the authority reviews your file rather than the day you submit.
  • Passport: the bio page, valid for the whole verification window.
  • Name variation affidavit: only if your name is written differently on any two documents. Attach it up front instead of waiting to be asked.

Realistic timelines, not the marketing ones

Official guidance quotes 15 to 25 working days. In practice 30 to 60 days is normal, and the difference is almost never DataFlow itself. It is the institution at the other end answering the request.

Two things shorten this more than anything else. Start DataFlow the moment you decide on a GCC move, because it runs in parallel with everything else in your application. Then email your university registrar yourself and ask them to expect and respond to a verification request. That single email routinely saves two to three weeks.

One point worth knowing before you pay twice: documents already verified for one authority can usually be transferred into a new authority's report for a smaller fee rather than verified again from scratch. If you plan to move between Gulf countries later, keep your report reference.

The six flags that stall files

  1. Name mismatches. Your name has to read identically across passport, degree and experience letters. Even a missing middle name raises a discrepancy. A notarised name variation affidavit, submitted at the start, prevents the query rather than answering it later.
  2. Unreachable verifiers. Hospitals that closed, merged or simply never reply. Supply the successor institution or the national council as an alternate verifier, plus a manager reference letter as backup.
  3. Experience letters without HR contact details. Every letter needs an official phone number and email. A letter on headed paper with no way to reach the issuer is not verifiable.
  4. Wrong document versions. Provisional degrees instead of final certificates, transcripts missing the seal, scans that cut off a stamp. Upload the final stamped version every time.
  5. Expired Good Standing. Most authorities want it issued within six months of their review, not of your DataFlow submission. Time the request late rather than early.
  6. Employment gaps. Unexplained gaps longer than six months invite queries. Cover each one with a signed statement or supporting document before anyone asks.

My file is on hold because a previous employer is not replying. What can I do?

DataFlow can only close a verification when the institution answers, so the fix is to give it another way in. Send an alternate verifier on your case: a different official email or phone number for the same HR department, the hospital switchboard, or the successor organisation if the employer merged or closed. A signed letter from your former manager, on hospital paper with a reachable contact, is usually accepted as supporting evidence while the main request stays open. Calling your old HR yourself, rather than emailing, moves more stuck files than anything else.

My college has closed. Can my degree still be verified?

Usually yes, but through a different route. When an institution no longer exists, verification moves to whoever holds its records: the successor college, the parent university, or the national council or examination board that registered the qualification. Send the closure evidence and the contact details of the body that now holds the records at the start, not after the file is flagged. Files that end up marked unverifiable are almost always files where nobody told the verifier where the records went.

What does my university registrar actually have to send?

The registrar confirms your degree certificate and final transcript directly with DataFlow, from an official university address. It is a confirmation of their own records, not a new document from you. Email the registrar yourself as soon as you submit, tell them a verification request is coming and give them your reference number. That one email routinely saves two to three weeks.

DataFlow is complete. What is the next step?

The report goes to the authority you applied to, and the authority reviews it against the rest of your application. Once the file is accepted you are issued the eligibility to sit the licensing exam (Prometric for most regulators, Pearson VUE for DOH Abu Dhabi), you book and sit it, and the licence follows after the remaining documents and fees.
